Article #5: Common GST Mistakes Small Businesses Make — And How to Avoid Them (2025 Guide)

By CA Shiwali & Co., Chartered Accountants, New Delhi

Running a small business in India means you must comply with GST — but many business owners unknowingly make mistakes that can lead to penalties, notices, and blocked ITC.

Here’s a simple guide to the most common GST mistakes and how you can avoid them in 2025.

🔶 1️⃣ Not Filing GST Returns on Time

Even if you have no sales, you MUST file NIL returns.

Late filing leads to:

  • Late fees

  • Interest

  • Auto-blocking of e-way bills

  • Risk of suspension

⛔ Many small businesses ignore GSTR-1 or GSTR-3B deadlines.

Solution:
Set monthly reminders or hire a CA for monthly compliance.

🔶 2️⃣ Incorrect or Missing Invoices

GST invoices must include:

  • GSTIN

  • Invoice number

  • HSN code

  • Tax rate

  • Reverse charge applicability

  • Place of supply

Errors cause mismatches and ITC issues.

Solution:
Use proper billing software or CA-certified invoice formats.

🔶 3️⃣ Claiming Incorrect Input Tax Credit (ITC)

This is the #1 reason businesses receive GST notices.

Common mistakes:

  • Claiming ITC not reflecting in GSTR-2B

  • Claiming ITC on blocked items (car purchase, personal use items)

  • Claiming ITC after the deadline

  • Wrongly claiming ITC for exempt supplies

Solution:
Match ITC with GSTR-2B every month before filing returns.

🔶 4️⃣ Not Reconciling Books with GST Returns

If your:

  • Sales in books ≠ GSTR-1

  • Tax paid ≠ GSTR-3B

  • ITC in books ≠ GSTR-2B

→ You may receive scrutiny or mismatch notices.

Solution:
Monthly or quarterly reconciliation with the help of a CA.

🔶 5️⃣ Charging Wrong GST Rate

Many businesses charge:

  • 18% instead of 12%

  • 5% instead of 18%

  • GST on exempt items

This causes short payment or excess collection, both of which are penalized.

Solution:
Get the correct GST rate confirmed by a professional.

🔶 6️⃣ Not Maintaining Proper Records

GST requires maintaining:

  • Sales register

  • Purchase register

  • Expense register

  • Stock register

  • Input/Output tax register

Solution:
Digital bookkeeping or outsource accounting to a CA firm.

🔶 7️⃣ Ignoring Reverse Charge Mechanism (RCM)

RCM applies when you purchase:

  • Services from unregistered dealers

  • Legal services

  • Transport (GTA)

  • Security services

  • Import of goods/services

Businesses often ignore RCM and end up with penalties.

Solution:
Identify all RCM transactions monthly and pay tax accordingly.

🔶 8️⃣ Not Updating GST Registration Details

You must update GST details if you change:

  • Address

  • Business activity

  • Mobile number

  • Email

  • Trade name

Failure = risk of cancellation.

Solution:
Apply for amendment through the GST portal.

🔶 9️⃣ Mismatched GSTR-1 and GSTR-3B

If you report higher sales in GSTR-1 but lower tax in GSTR-3B, a notice is almost guaranteed.

Solution:
Always reconcile both returns before filing.

🔶 1️⃣0️⃣ Not Taking Professional Help

Small businesses try to manage GST on their own and end up making costly errors.

Solution:
Hire a CA to handle:

  • GSTR-1

  • GSTR-3B

  • ITC reconciliation

  • Annual return GSTR-9

  • GST audit
